Speaker - Kelly Bogart, Information Security Office on Personal Information Sweep Initiative

How much data do you have on your desktop? Average 2400 bankers boxes worth of info. As of October you will be required to perform a Personal Information Sweep on an annual basis. Personal Information is: SS#, Drivers license, non- operators license, credit or debit with access code or password. Several new policies, laws, etc regarding securing Personal Information. Security breach notification can be costly - must contact those whose Personal Information you may have lost or allowed access by an unauthorized person. Limiting access or even filing methods will help keep notifications down for cost will be paid by dept involve/responsible for the data breach/loss. 139 times last year, 68% more than 2006. 112 institutions. $50 per notification. Laptop or jumpdrive that is lost or stolen, spreadsheets that have been downloaded, etc may prompt 100s if not 1000s of notifications. Contract for someone/dept, etc using credit cards must sign they don’t store unencrypted cc numbers. Record retention & disposal, record retention rules require schedule to dispose of this information. Electronic discovery - if you get involved in litigation, anything you have on the computer may be required to be made available. Http://Security.arizona.edu has a schedule of informational presentations. October first is the launch date. Contact 621-8476 for questions or to arrange for a presentation in your department. Presentation will be on their website eventually with a voice over.

Information security responsibilities

12 steps to personal information sweep

End user responsible not IT person who cant know what you need to keep or not...only you can decide this

  • consider all computers and storage devices where you store personal information

  • delete what you can if not needed for work purposes or not a public record which needs to be retained

  • if cant be deleted secure the information, transfer to external media, separate name from number, truncate the number to last 4 digits, encrypt the info

  • install and scan your computer and storage devices using Spider

  • find the log file, handle files with PI: delete or secure

  • if you keep PI on computer: must meet minimum security for networked devices standard for all computers - strong passwords, anti-virus, anti-spyware, encrypted authentication, updated patches, physical security, etc

  • sign certification form and return to our dept/unit head

  • Support available for those without IT or not computer savy. Contact 621-8476 for questions, etc.

    Treasurer's Report - Jean Mason - needs committee budgets submitted. Budget was cut so we need to keep a sharp eye this year. This is Jeans last year so she needs someone willing to prepare to take it over. APAC is willing to help fund ERC and Grace will have Lisa Wakefield contact Carol Beltran of APAC.

    Discuss Questions for Town Hall Sept 23rd - 10 hour days schedule set up for busses - Phyllis attending a meeting on travel. Any questions can be submitted via a sac member or on the website. Fliers will be sent out. Attempting to Video Conference it to UA south and Phx campus.. Sending 2-3D memos Notification to Campus

    Standing:

    Tri-University Classified Staff Executive Board – SAC Executive Committee - Sept 12

    Communications - Maria Inoescu - listservs will be pinged tomorrow to clarify committee members and get them using their listservs

    Emily Krauz Staff Endowment Fund – Shana McClelland - 21 as of today defining the time it covers

    Employee Recognition - Grace Aranda - questions on the number of awards that we can give so do we cut the amount to ensure that awards are given or possibly checking with Dr Shelton about the fact the awards are being cut.

    Human Resources – Nancy Chilton - haven’t met though meeting on the 17th. Performance evaluations on the agenda and will be distributed.

    Legislative – Phyllis/Claire - will be in touch

    Membership/Liaisons – Joyce Childers - contact her for RSVP for meetings attendance.

    Activities – Claudia Arias/Lupe/Marcy - Sept 27 Dback game with bus for $40-45 not via campus mail; KUAT of Sept 13 pledge drive need volunteers; no Halloween event instead we are doing a food bank pickup and blood drive of Oct 16; tailgate event with athletics; no fall craft fair but piggy pack with central student involvement expo; Santa calling in Dec; UA care coordinator still needed; making strides against breast cancer Oct 26 will logo for free on t-shirts with no entry fee (by donation)

    Conference – Lilian Schwartz - getting quotes for venues. Using the March 20th date may be a problem due to booked venues. Friday before sounds good. Meeting soon.

    UA South – Maria Ionescu - performance appraisals came up at their last meeting. Survey was done and hoping to come up with some good feedback and solutions. Non-monetary compensation, etc Will bring summary to town hall. 14.2% behind on salaries

    University Committees:

    Appointed Professionals Advisory Council (APAC) - Lorelei Panico - ERC looking into contact for funding

    Campus Advisory Council (CAC) – Grace Aranda - Sept 12: 9-11 Jean Mason to attend

    Campus Emergency Response Team Committee (CERT) – Marci Remington - missed Aug 27, next on Sept 24

    Campus Recreation Advisory Council 2007-2008 (CRAC) - Lupe Jacobo, Jim Hicks - Lupe has made a phone call to get contact info

    Naming Committee – Sharon Bouck - has made contact, no report

    Life and Work Connections – Grace Aranda info out to sac announcements

    Parking and Transportation Advisory Board – Marci Remington - Aug 27 no meeting scheduled as yet

    Strategic Planning Budget Advisory Committee (SPBAC) – Lorelli Panicio - Ana sent out an annual report. Finished strategic plan and Hay wants to ensure goals are met

    S.U. Advisory Board - Claudia Arias, Joyce Childers - excited to have a new member and will pas on dates she cant attend to Joyce

    UA Retiree Organization – Sharon Bouck - meeting next week and she plans to attend

    University Hearing Board – Joyce Childers, Elvia Gandara, and Jannelle Weakly - Joyce signed up for a training next week

    UA Cares Steering Committee – Phyllis Kabins - looking to see who contact replacement is, Shana will check into that

    NEW! Sustainability committee - Nancy Chilton - thrilled to have sac involvement, attended communications outreach
