July 10, 2009

Survey results - Claudia Arias - total 5330 contacted with 856 started and 745 completed.

Staff understands vision and direction - 45% agreed,

Have comments for SAC - doing a good job, parking fees and spots, low salary levels, nonmandatory policy on supervisors completing staff performance appraisals - 192 responses though some inappropriate.

Thank you sent to those who participated will be posted on website and included in first newsletter which will be distributed to all SAC electronically or with link to website access

Results will be posted on the website per request of some respondents. Some concerns will be served through committee activities: i.e., SPBAC and HR, used by HR once its on the website. Increasing membership on SAC. Will do a follow up in at least a year.

Membership discussion - the idea of increasing the membership was raised as so many new folks expressed interest in geting involved.

We would like SAC members to get more active and mentor new members into the organization including providing a checklist guideline for mentors and a link for mentoring teams and communication.

It would be nice to have a first meeting for new members so that we can have an informational meeting to let folks get to know about SAC and what we do and hear what they would like to do.

There is plenty of folks who are willing to help with the committees or providing information so take advantage of their experience.

Guest Speakers - Caryn Jung, Jan Sturgis of Life & Work Connections - " Keeping Hopes High"

Life & Work Connections serve all levels of the UA family. Located on Vine by Poetry Center, 621-2943. Have wonderful resources and referrals so check out their website: http://lifework.arizona.edu. Child Care: care referrals, sick child and emergency care, voucher program according to your needs, (would be nice to promote these programs in our newsletter for staff), mommy connection lactation friendly information, Worksite wellness: flu shots, well being newsletter, wellness screening; Elder Care: consultations for immediate need or noticing a declining parent to meet and triage their needs and concerns, brochures with resources as well as global coping skills for caretakers, and lunch and learn covering a specific eldercare topic; Employee Assistance and Counseling and Consultation - free, confidential and voluntary short term assistance and referral for situations like supervisor help or relationships, etc, resiliency module on their website which is of great use and self paced; Nutrition and health professional services available and providing wellness development opportunities on website and campus

Economies, world conflict and turmoil can cause stress. Being overwhelmed and the need to multitask has become the new "normal".

Hope is belief in a positive outcome and feeling that what is wanted can be had and will turn out for the best. Capable, consistent, confident and connected.

Capable - added skill set in our toolbox - sense of humor, networking, can-do-attitude, skills: computers, etc

Consistent - in integrity, assurance in self reliance, presentation with conviction and give out a reflection with a full team effort

Confidence - there is no pause button so you need to be fluid and prepared for change,

Connections - state of being connected - networking and knowledge of who and what you need to know, keep those connections and strengthen those with those who are passionate about the same concerns. Patterns are important and take advantage of what is needed. Possibilities for the direction we are headed.

Resiliency will help you meet these needs. Be the author or your direction and your hope. Have a sense of direction and have an intentional place in mind.

ICE - In Case of Emergency - packets - tootsie roll to help you roll with the flow, smarties to remind you have what it takes, life saver - those things you can control.

GRAND PRIZE: band aid to help you heal, bouncy ball for those up and downs, crayons for a colorful life and stress reduction and as a reminder to keep dreaming...it’s okay to color outside the lines; eraser to start over to remind you to create another opportunity for your success; Extra gum - we all need some extra help; glue stick to keep it and stick together; hugs & kiss - something we all need, laffy taffy - keep a sense of humor; lifesaver - experience what you can control; pencil - needs to be sharpened much like your skills; pencil grip, keep control; tootsie roll to roll with the flow; penny - lucky penny.

Relaxation exercise - awareness, belonging and fit in to the group, and control of ability to cope are the ABCs of stress management. Make the time to relax and get back to a state of calm for better decisions. Stress to success workshop next week in PSI. Creating a sense of mindfullness and being - know of yourself than environment, family and work. Sense of timelessness - opening creativity and hope.

Committee Questions - Sign up and breakout into committees

Committee goal reports - Each SAC member must be an active member of at least one committee. We plan on keeping track of this closer this year.

Standing:

Tri-University Classified Staff Executive Board – SAC Executive Committee - working on meeting by video conference to reduce cost and allow the tri-u to still work together

Communications - Grace Aranda, Carolyne Greeno - newsletter with questions on format and frequency, changes and update to the website, sac announcements and bulletins, listserves: showing folks how to use them so they are more interactive.

Emily Krauz Staff Endowment Fund - Shana McClelland, Diana Rix - Shana will work on mentoring Diana in to take over the committee

Employee Recognition - Grace Aranda, Eddie Gomez - date for the 2010 event is April 13. Those who volunteered last year will be contacted in August about the closing meeting and making plans for 2010. Our budget person would like to mentor someone else in to take over for her. Once again we will be reviewing what worked and didnt and would appreciate input from those who took part last year. Always welcome new members so contact Grace if you want to be added to the committee.

Human Resources - Monica Franco, Diana Rix - (Joyce Childers) Want to focus on getting staff performance appraisals completed in a timely manner and centralization of policies so everyone is on the same page. Want to look into how notifications are done on layoffs and equity involved so APAC and staff have same notification assurance. Would like to have staff input via supervisor ratings feedback.

Legislative - Phyllis Kabins, Grace Aranda - (Claire Tapia, Kevin Law) Pride nite in February was cancelled last year due to budget but will keep informed for 2010. Advocats training gives you the tools to promote the UA. It is held in the fall and will inform council and others of the date once set. Remind folks that their voice and support for the UA needs to be heard in the legislature for budgetary battles. Be sure that any contacts are done on your own time and your own materials not the UA’s.

Membership/Liaisons - Angie Gomez, Carolyne Greeno - (Grace Aranda, Claudia Arias) Membership notebooks content needs to be reviewed and distributed to all new members and possibly present members who did not receive one. Develop a mentoring program for new members and partner them with a current member so that they have a one to one contact. Develop a checklist and webspot so these folks can have goal points for constant contact. Initial membership meeting for new members to ease them into SAC. Review new membership application and process. Develop mentoring in volunteers from events so that we can get folks comfortable with what SAC is and does to promote membership

Activities - Claudia Arias, Eva Gonzales - Improve staff health, morale and wellness is a goal for upcoming activities. Connect with other staff members by having staff activities like the craft fair. Getting involved without outside community and events and promote with SAC - CSW, student groups, etc. Have opportunity to see what SAC has done and what we are working on. Mentoring staff among fun activities and increase perception among staff.

Conference - Debbie Buenger, Claudia Arias - (Lili Schwartz, Lupe Jacobo) CSW and IIAP would like to partner with us for crossroads conference. Discussions have been ongoing about changing the timing from the spring which is high season to summer for off peak discount for venue. Possible date of July 23. Need to find focus and likely speakers and then get out announcements and save the dates. In this economy we will likely be looking for less than 200 attendees, maybe 75+. Bid out for good pricing and off-peak time. 4 rooms (30 people) for break outs and one ballroom for breakfast and lunch. All SAC members need to plan to be involved.

Wrap-up – Eddie Gomez - Eddie thanked everyone for attending and is encouraged by what was accomplished today. He gave a special thanks to Deborah Quintana, Joyce Childers and Eva Gonzales for all their hard work getting sponsors for the days prize drawings: Eegees, Bentleys, La Salsa, Grimaldi’s, Trader Joe’s, Creative Communications and Arizona Imprintables...please think of them first when making purchases as a thank you for their continued support.
