General Meeting Minutes
April 1, 2008

Meeting was held in Student
Union Ventana Room. President Randy Livingston presided at the meeting, and
Secretary Grace Aranda took the minutes.

Opening Announcements – Randy Livingston - Gave a
viewpoint of the 5 year review of the emergency childcare providers
Treasurer's Report - Jean Mason
Crossroads Conference - Lili Schwartz: Comments and
suggestions for next year - Lili Schwartz provided an overview on how things
went and showed a slide show of the event. The webpage has been set up but still
under construction.
Leslie Porter, Liaison - Human Resources Update
E-verify update: As part of the employee sanction
law. Database is integrated with SS and homeland security. Confirmations are
pretty immediate. Been contacted by national members wanting to know how we are
dealing with these verifications. 1st state to require it for all employers to
conduct. Daily Star 3/30/08 did an article that found less than 20% of employers
are complying and using the system and no apparent sanctions other than no fault
of hiring illegal aliens. Some states forbid the use of the system. Timing is a
big issue and depends on the start date according to Homeland Security within 3
days of the start date not offered date. Systems control in charge of this and
have done training on the system. Cumbersome as it adds another level onto the
system, causes people to get their I9s (payroll form) done earlier. So far there
has been no peak dates so things have been managed but with the beginning of the
semester, etc there may be timing problems. HR on-boarding of new employees is
being looking into. Assignments of EID earlier in the process would also help
and a working team is looking into earlier creation. It looks to be figured out
before July 1st. Department orientation toolkit being worked on as
well to help new departments familiarize new employees in university culture and
resources. Systems control can assist with questions.
Denial of vacation time to
the point that the person loses their vacation every year. Refer them to an
employee advisor. Ombuds is an alternative resource for reviewing the trouble.
HR doesn’t advocate for the employee, rather they give them the options and how
to manage the situation. Empower the employee to manage their work environments
to their best advantage.
Getting to Know U Newsletter
- HR newsletter covering topics of interest to employees and available online.
There may be a blog for more timely issues in te future.
Retirement information HR
suggests starting with training on what you need to retire 5 years out of your
actual retirement. Helps employees define what their needs as far as deferred
plans. Provide assistance in getting money plan for financial management
Oracle/People soft implementation
- working with systems control and will raise the training needed by departments
and will roll out the first models in Fall 2010 replacing PSOS, payroll and
financial the bring in students after. Doing gap analysis as it has a lot of
functionality. Large project team working on this. ABOR wants us to go with
People soft for integration with all 3 universities. Getting users involved.
